SOCIAL RENTALS

Can I provide my own caterer?

Yes, you can. Wilde Lake Community Association must be provided with a copy of the caterer’s liability insurance policy.

What if I self-cater?

Wilde Lake Community Association must be provided with a copy of the Lessee’s Homeowners or Rental Policy showing liability coverage.

Do I have exclusive use of the Building?

No, unless you rent all the rooms, there will likely be other events in the building.

How can I hold a date?

A room can be held for one week with a right of first refusal if another rental request is received. The room is reserved when the contract has been signed and the security deposit is paid.

Can I serve alcohol without a liquor license?

You can serve alcohol to your guests as long as you are not charging a fee for the drinks or for tickets to your event. One-day liquor licenses are available to non-profit organizations from the Howard County Liquor Control Board.

Do I have Set-Up time?

Set-up time is allotted in the contracted time, i.e. rental for six hours includes one hour for set-up and one hour for clean up. Drop off of decorations and refreshments before the allotted time must be cleared through the Facilities Coordinator.

What clean-up am I responsible for doing?

Disposing of left-over food and decorations.

What is included in my rental fee?

Use of the rooms specified in the contract for the allotted time and set-up and tear down of tables and chairs.

When is my room set-up required?

One week before the event.

What is the Cancellation Policy?

If the event of a cancellation before the balance of the room fee is due, 50% of the room deposit will be forfeited. If the event is cancelled with three weeks, the entire rental fee will be forfeited.

Can I have live music at my event?

Yes.

Can I use candles at my event?

Votive candles may be used in glass containers that are higher than the flame with prior approval of the facilities.

Are there any restrictions on the decorations I can use?

Use of helium balloons are discouraged in the Gene Weiss Room because of the high ceiling. Fee for removing balloons from the ceiling will be deducted from the security deposit. Only painters tape may be used on the walls. All other decorations must be cleared by the Facilities Coordinator or the Village Manager.

Are linens or glassware provided?

No

THEATER OR PERFORMANCE RENTALS

What space included in a performance rental?

Use of the Gene Weiss Room (theater), stage, Green Room and Dressing Rooms.

How about sets?

There is an additional daily charge for using our Set Construction Room for assembling or disassembling stage sets. Schedules for placing of sets must be approved by the Facilities
Coordinator with consideration given to other events occurring between rehearsals and performances.

When do sets have to be removed?

Within 24 hours of your final performance.

What about costumes and props?

In certain situations, these may be left in the dressing rooms and set construction room during the run of the performance(s)..

Can I serve refreshments during intermission?

Yes, but no alcoholic beverages unless you are a non-profit with a liquor license. Refreshments cannot be taken onto the theater raked seating.

What other charges are there?

Use of the Baby Grand Piano on the stage $50.00
Use of Marley Floor $50.00

How about technical support?

Our technical director is available at a cost of $25/hour to handle all you sound and lighting needs. If you have your own sound person, he or she must be cleared by our technical director before they can operate our equipment.

BUSINESS MEETINGS

Can we serve breakfast or lunch?

Yes, but liability insurance must be provided.

What special features do you offer?

A theater size movie screen and an LCD projector for rent.

Can the rooms be set-up to meet different needs?

Yes they can be set theater style or classroom style with either round or rectangular tables.
